Hosting a Remote Online Notarization (RON) ceremony using Pactima can be a seamless experience for both you and your clients. This guide will walk you through the process of conducting a RON session, ensuring you understand every step from beginning to end.
-
Prepare for the Session: Ensure both your camera and microphone are functional. Pactima's interface will show both you and your client in the session. Remember, all RON sessions are automatically recorded for compliance.
-
Navigating the Interface: At the top left, you'll find options for navigation and recording controls. Use the page-by-page navigation to smoothly transition through the document.
-
Managing the Document: You can skip pages if necessary. This flexibility allows you to handle the document efficiently, especially when not all pages require attention.
-
Signature and Stamp Placement: Clients can add their signature by typing, drawing, or uploading. Once they adopt and sign, the signature appears instantly. As the host, you'll then add your notary stamp by uploading a pre-saved stamp from your account.
-
Editing Documents: If there’s an issue, click 'More' to start editing. Here, you can move signatures and stamps, resize them, or add new ones. You can also invite additional participants, delete the current document, or replace it while keeping necessary fields intact.
-
Finishing Edits: After making changes, click 'Finish Editing' to resume the live session. This action also resumes recording, indicated by the icon at the top left.
-
Locking the Document for Review: Once all fields are completed and signed, click 'Lock for Review'. This step finalizes the document, preventing further changes. Every participant must click 'Agree' to finalize the document.
-
Confirming and Completing the Session: As the host, review the document, confirm all necessary fields are filled, and then finalize the process. This action completes the document from the host's perspective.
-
Ending the Session: You can then end the session, which logs out both parties. Feedback can be provided at this stage.
-
Accessing Completed Documents: Find the completed package under 'E Notary Completed Packages'. Here, you can view details, download the document, and add your PKI (Public Key Infrastructure) for added security.
-
Reviewing and Storing Records: Pactima stores recordings, verification details, and journal entries for a minimum of five years. These records can be downloaded for your reference.
